4. Committee Reports & Chair Updates

5. Motions, Votes & Decisions

Any official motion put to a vote must be recorded with who made the motion, who seconded it, and the vote count. Example: “Motion by Sarah Chen to approve the Fall Carnival fundraiser budget not to exceed $2,500. Seconded by Mike Rodriguez. Approved 9-1.” Even if a motion passes unanimously, write it down.

6. Action Items & Assignments

Who's doing what by when? Example: “Jennifer will follow up with the school about spirit week dates by March 30. Mike will order the new hospitality supplies by April 5.” These become next month's check-in items.

7. Next Meeting Date & Adjournment

When and where is the next meeting? What time did this one end? Include these logistics at the bottom.

Common PTA Minutes Mistakes to Avoid

Forgetting the exact vote counts. “Approved” is not enough. Write down “Approved 7-2” or “Approved unanimously.” This detail matters in audits and if decisions are later questioned.
